Student Pass Application Information

About Student Pass and Immigration related issues

International students are required to have a valid Student Pass to study in Singapore. This processing of student passes can only be made possible after EduTrust Accreditation with approval given only by the Immigration and Checkpoints Authority (ICA).

International students must abide by the rules and regulations set out by the ICA which includes but not limited to spending a minimum of at least 3 hours in school from Mondays to Fridays, excluding public holidays or under the written consent of absence from a certified medical practitioner. Holders of Student pass are also strictly prohibited from working.

Violation of ICA rules and other such laws of the republic of Singapore will result in an immediate cancellation of the student pass. Course of study will be disrupted which may result in a termination of course, otherwise the nature of student pass cancellation will be reviewed by the academy and a deferment may be considered at the sole discretion of AES.

About procedures to apply for Student Pass

New applications are to be submitted at least 2 (two) months and not more than 6 (six) months from the course commencement date.

Applicants are not required to be present in Singapore while their applications are being considered. Hence, applicants are advises to apply for a Student's Pass before arriving in Singapore as no extension of stay will be granted while the applications are under processing

The general processing time for a new application is about 4 (four) weeks upon the receipt of a duly completed application by ICA. Some applications may however take a longer time to process.

Documents required for the application of student pass

  • 2 recent Passport sized photographs
  • National Identity Card
  • Official Birth Certificate(photocopy)
  • Highest Education Certificates
  • Result Transcripts
  • Travel Document (Passport)
  • Provide residential address for last five years
  • History of employment for the last 10 years – Name of Company, Period, Designation, Responsibilities
  • Siblings particulars – Name, Date of Birth, Designation, Nationality
  • Father's National Identity Card/Passport
  • Mother's National Identity Card/Passport
  • Parent's Marriage Certificate/Divorce Papers
  • Custody Papers
  • Father's Occupation
  • Mother's Occupation

IF Applicant's Parents are Singaporeans/Singaporean or PRs

  • Parent/Parents' CPF Statement for the past one year
  • Parent/Parents' Income Tax Assessment for the past three years (if self-employed)
  • Letter of Employment (Date of issue should not be more than 3 months)

IF Applicant's Spouse is a Singaporean/Singaporean or PR

  • Spouse's CPF Statement for the past one year
  • Spouse's Income Tax Assessment for the past three years (if self-employed)
  • Letter of Employment (Date of issue should not be more than 3 months
  • Spouse's Highest Educational Details

Financial Ability/Other Financial Support:

Upon approval

A security deposit is required by ICA, where students will need to furnish the security deposit in the form of Banker's Guarantee. The security deposit will be refunded back to the student or the sponsor in approximately 2 months after the course is completed and the student had left the country. Arrangements for methods of refund will be made at point of application.


Security Deposit

With effect from 1st April 2013, international students are required to furnish their Security Deposit (SD) in the form of a Banker’s Guarantee (BG) only. The SD, if required, would be indicated in the In-Principle Approval (IPA) letter issued to students by the Immigration & Checkpoints Authority (ICA).

Students are advised to obtain a BG directly from any bank regulated by the Monetary Authority of Singapore (MAS).

Completion of Formalities as per ICA

With effect from 1 April 2009, all completion of formalities is strictly by appointment only. Please use ICA's e-appointment facility to select the preferred date and time to complete Student's Pass formalities. On the date of the appointment, please proceed to the Self-Service Ticketing Kiosk 2 located at Visitor Services Centre, ICA Building to obtain a queue ticket. Applicants are advised to be punctual for their appointments.


Fees

Student Pass Application Fee An student pass application fee of SGD $214 (7% GST included) is payable Aesthetics International Academy (AES) for every application submitted. The fee will include the initial Student's Pass Application Fee payable to the ICA. This fee is non-refundable regardless of the outcome of the application or if application is withdrawn after submission.

*The student pass application can be applied by the applicant herself/himself.

Fees can be made to AES account via telegraphic transfer, cheque, credit card or cash. All Debit or Credit cards transactions must be made in person at the academy. Application process will commence upon receipt of funds.

Issuance Fee upon collection of Student's Pass A $60 issuance fee for every student's pass issued and a further $30 multiple-entry visa fee for visa required nationals, where applicable. The fee is payable when the successful applicant completes the formality to collect the Student's Pass.

Renewal of Student's Pass Fee Please take note that the student pass application fee of SGD $128.4 (7% GST included) for renewal is payable Aesthetics International Academy (AES) for the student who comes back for the re-take in practical examination within 3 months since the cancellation date of student pass card

Change of local Address

According to the Immigration Regulation 19(3) (b), all foreign students are required to report any changes in his/her address in Singapore within 14 days of such change. The student who wishes to report such change of his/her local address is required to submit his/her request via ICA's website at www.ica.gov.sg using e-Update of Address service.

School can also log-in to ICA SOLAR+ system to report any changes in the student's address. An acknowledgement will be sent within minutes if the report is successfully registered by the system.

Alternatively, the student may also deposit the 'Change of Address' form into the drop-box located at the Student's Pass Unit department. It will take about 2 weeks to process the application and the student will be informed of the outcome by post.


Other important information

  1. For the application of a Student's Pass, an applicant must be accepted into an approved full-time course. An applicant who wishes to take up a part-time course or a course conducted in the evening or weekend will NOT be eligible for a Student's Pass.
  2. The applicant and school will have to furnish additional documents and information whenever necessary.
  3. Official / Notarised translation of the documents is required if they are not in the English language.
  4. All forms are to be duly completed and signed by the applicant and the school. No part of the form should be left blank or incomplete. If any section or part of the form is not applicable, it should be filled as 'Nil' or 'Not applicable (N.A.). Applications with incomplete forms or documents will NOT be accepted for processing.
  5. Applicant has to call in person with a valid immigration pass to collect the Student's Pass only after the application has been approved. Student's Pass will only be issued if the conditions as stipulated in the In-Principle Approval letter are fulfilled.
  6. The student shall not enter or be retained as a student in any other school or course other than that indicated on the Student's Pass.
  7. ICA may share your personal information with other government agencies to process any applications you have made or to render you a service, so as to serve you in a most efficient and effective way, unless such sharing is prohibited by legislation.
  8. ICA reserves the rights to verify the authenticity of the documents submitted in the application with the relevant issuing authorities or through the affiliated government agencies.

International students planning to pursue their studies in Singapore can choose from the various accommodation providers as AES currently does not provide any boarding services. For more information on the types of accommodation please consulate your property agent.

Renewal of Student Passes and Processing time

Students who wish to continue taking the same course in the school may renew their Student's pass via the SOLAR+ system.

The general processing time for the renewal of a student's pass is 3 (three) working days upon the receipt of a duly completed application by ICA. However, some applications may take a longer time to process.


Transfer of schools / Course of study and Processing time

Applicants who wish to apply for a new Student's Pass in order to take up a different course or to study in a different PEO are to submit an application for the transfer of school / course of study at lease 4 (four) weeks before the course begins.

The general processing time for the renewal of a student's pass is 3 (three) working days upon the receipt of a duly completed application by ICA. However, some applications may take a longer time to process.


Cancellation of Student's Passes

Foreign students are required to surrender their Student's Pass for cancellation within 7 days from the date of cessation or termination of their study. With affect from 3 Nov 2008, student/school can now submit an application of Student's Pass cancellation online may submit over the counter, obtain a queue ticket at the Self Service Kiosk 1 at Visitor Services Centre, 4th storey, ICA Building, from Monday to Friday (8.00am to 4.30pm), Saturday (8.00am to 12.30pm) with the following documents:

  1. A duly completed cancellation form;
  2. Student’s valid travel document;
  3. The Student’s Pass Card (IMM Form 17A);
  4. Student’s Visit Pass and Disembarkation Card (IMM Form 27A), where applicable (will be provide at ICA counters).

New Student Pass Application

How to apply (New Student Pass Applications)

This applies if you are currently not studying in Singapore, and DO NOT hold a valid Student Pass.

Step 1: Download and submit your application form via Email or Fax to Aesthetics International Academy for enrolment confirmation. (ONLINE APPLICATION AVAILABLE SOON)

Step 2: AES Administrative Officer will register your application for a Student Pass on ICA's SOLAR+ system, and obtain your SOLAR+ Application Number.

Step 3: Your SOLAR+ Application Number will then be emailed to you.

Step 4a: We can on your behalf, process your application using your SOLAR+ Application number. (Complete Authorization Section attached in Course Application Form)

Step 4b: Alternative, on your own, after receiving the SOLAR+ Application number, Apply for your Student Pass online within seven days of receiving your SOLAR+ Application Number. At the website, click on 'PEO', then 'Student'. Note: You will need your SOLAR+ Number in order to apply for the Student Pass.

Step 5: When you have successfully submitted your SOLAR+ Application, it will be routed as "Receiving Attention" according to ICA.

Step 6: ICA will take about 4weeks to process an application. You can check the status of your application online, from the SOLAR+ website, using your SOLAR+ Application Number.

Step 7: Once ICA has approved your application, an In-Principle Approval (IPA) letter will be issued.

Step 8: Go for a medical check-up. Ensure your doctor uses the prescribed form attached to your IPA letter. If you have studied in Singapore before, you must do your medical check-up here in Singapore; otherwise, using the prescribed form, you can go to any registered General Practitioner in your home country for your medical check-up.

Step 9: Refer to; Completion of Formalities as per ICA

Step 10: Documents required for Collection of Student Pass:

  • IPA Letter
  • Passport (which must be valid for at least half a year)
  • One recent passport-sized colour photograph
  • Documents as listed in Annex A or B (Refer to IPA Letter)
  • A completed original medical check-up form and original copy of the laboratory report.
  • Your duly signed Student Pass Application e-Forms
  • Acknowledge a copy of the Terms & Conditions of Issue for Long Term Pass (LTP) Card.
  • Issuance of card fee fees.

You can make your payments online via SOLAR+ system or payment by NETS, CashCard, Visa and MasterCard credit/debit cards at the lobby located at ICA Building.


Transfer of Student Pass Applications

How to apply (Transfer of Student Pass Applications)

Applicants who wish to apply for a new Student's Pass in order to take up a different course or to study in a different PEO are to submit an application for the transfer of school / course of study at lease 4 (four) weeks before the course begins.

Renewal of Student Pass Applications/Transfer Course (within same school)

How to apply (Renewal of Student Pass Applications/Transfer Course within same school)

You have to apply to renew your Student Pass if:

  • You are currently studying in AES, and your Student Pass will expire before the course ends. E.g. you are moving from CIBTAC to CIDESCO, but your Student Pass expires at the end of your CIBTAC course.
  • You wish to switch to a different course at AES.

Step 1: If you are switching courses, inform Administration Department of your eligibility and complete the Course Transfer Form. You are required to sign a new contract before proceeding with the transfer of student pass application.

Step 2: Administration will then register your application for a Student Pass on ICA's SOLAR+ system, and obtain your SOLAR+ Application Number.

Step 3: Within seven days upon receiving the SOLAR + Application Number, you must complete the required fields in the Student Pass document online at the SOLAR+ website. To begin, click on 'PEO', then on 'STUDENT' and log-in using the SOLAR+ number given.

Step 4: Fill in all required details and upload your photo at the end. The system will prompt you to pay for the processing fee of S$30.00. Application will not be processed if no payment is made.

Step 5: You can check the status of your application online at the same website, using your SOLAR+ Application Number. ICA will process your application within two to four weeks.

Step 6: Once ICA has approved your renewal / transfer course, an In-Principle Approval (IPA) will be issued.

Step 7: Collect the IPA Letter and arrange for collection of Student's Pass. (Collection of student's pass is strictly by appointment ONLY)

Step 8: You may be required to go for a medical check-up. For renewal / transfer cases, the medical examination and HIV testing MUST be done in Singapore by any registered GP.

Step 9: Collect your Student Pass from ICA within two months from the issue date of the IPA letter.

Bring the following documents:

  1. A copy of your IPA Letter
  2. Your passport / travel document with a valid Visit Pass/Student Pass and a copy of the personal particulars page
  3. One recent passport-sized colour photograph (if required)
  4. A completed medical check-form form (if required)
  5. Your duly signed Student Pass application e-Forms
  6. Payment of issuance fee and multiple entry visa. (You may make your payments online via SOLAR+ System or payment by NETS, CashCard, Visa and MasterCard credit / debit cards.)
  7. Acknowledgement of the Terms & Conditions for Issuance of Long Term Pass (LTP) card.
